Workflow board, Today & tech clock
See every car in the shop at a glance.
A drag-and-drop board with every open repair order by stage, a morning screen that tells you what needs someone right now, and a phone-sized time clock for every tech.
Sound familiar?
Where cars get lost
- The whiteboard is out of date by 9 AM.
- “Where’s the Camry?”
- Promised times slip and nobody notices until the customer calls.
- Techs walk to the counter for every update.
One board, one list, one clock
One board for the whole shop, a morning list that builds itself, and a time clock that moves the card when the tech starts.
Workflow board
The board
Every open repair order sits in the stage it’s in. Move the card when the work moves.
Five stages
Estimate, Approved, In Progress, Waiting on Parts and Ready for Pickup. Closed ROs drop off the board.
Drag, or swipe
Drag cards on a desktop or iPad. On a phone, swipe between stages and move a card from its ••• menu.
Undo on every move
Each move shows a toast with an Undo button. A wrong drop is one tap to fix.
Filter and search
Show everyone or one technician. Search by RO, customer, vehicle or plate.
Cards that say enough
The tech, the promised time, services done out of total, and parts still on order. A promised time turns red once it passes and the car isn’t ready.
Time-stamped
Every stage change is time-stamped. With Shop Cloud, those times drive the customer’s live status page.
Today dashboard
Today: the shop’s morning screen
Today is the home screen of WPI Driveline Shop Management System. Five totals sit across the top: in the shop, billed today, awaiting approval, ready for pickup and receivables. Under them, Needs attention builds itself from what’s already in the system. It watches for:
- Cars past their promise time
- ROs waiting on parts
- Estimates still waiting 3 hours after they were written
- Ready cars with a balance due
- Past-due fleet invoices
- POs due today or overdue
- Low stock
- Booking requests to confirm
- Today’s self check-ins
- Unread messages and missed calls to return
Also on the screen: today’s appointments with a one-tap Book appointment button, an activity feed, and shortcut tiles with live counts. The tiles are filtered to what the signed-in role may open.
Tech time clock
A time clock made for the bay
Each tech picks their name once on the bay device. Their shift clock, their jobs and a Start button for each service are on one screen.
- Clock in and out for the shift, with time on the clock today.
- Assigned jobs, plus open jobs a tech can claim and start.
- One-tap job timers. Starting a job clocks the tech in and moves an Approved RO to In Progress.
- Mark services done and write the cause and correction.
- Take a photo or video in the bay, straight onto the RO.
- One tap to the inspection, Auto Diagnosis, and the vehicle’s diagrams, parts and repair guides.
- On phones, techs get their own tab bar: Clock, Board, Orders, Diagnose.
A Right now board shows who’s on which job. Efficiency and productivity come from real clock time:
- Efficiency
- flagged hours ÷ hours on jobs
- Productivity
- hours on jobs ÷ hours on the clock
One card, one day
A card’s day on the board
Follow one repair order from the customer’s yes to pickup. Most moves are a drag or a tap. Starting the timer makes one for you.
-
Approved
The customer said yes. The card sits in Approved with its tech and promised time.
Approved · 7:35 AM -
In Progress
The tech tapped Start on the time clock. The timer runs, and the card moved to In Progress with it.
Timer on · Kim P. -
Waiting on Parts
If a part has to come in, the card moves here. The PO is open, and Today lists it on the day it’s due.
PO due today -
Ready for Pickup
Send the vehicle-ready text with the balance due, plus a pay link once payments are set up. With Shop Cloud, you can also send the live status link so they can follow along.
Ready · text sent
Times, names and chips are an example from the sample shop.
Questions
Board and time clock questions
Can techs move cards from a phone?
Yes. Swipe between stages, then use the ••• menu on a card to move it. On a desktop or iPad, drag it.
What if someone moves the wrong card?
Undo. Every move shows a toast with an Undo button, and one tap puts the card back.
Does moving a card text the customer?
No. With Shop Cloud, the move updates the live status page if you’ve shared it. To tell the customer, send the Live status link or a Status update text from the RO.
Does it handle flat-rate techs?
Yes. The payroll export counts clock hours, with overtime, for hourly techs and flagged hours from invoiced work for flat-rate techs. Commission is included. See Reports, payroll & QuickBooks.
