Inspections & approvals

Show what you found. Get it approved.

Techs work a multi-point inspection on a phone or tablet with ratings, measurements, photos and video. Customers get a clean report by text or email and approve or decline each service with their name and signature, and the decision is applied to the repair order on your signed-in devices.

Sound familiar?

Where approvals stall

  • You found worn pads. On the phone, the customer heard “brakes” and said “just the oil change.”
  • The photos stay on a tech’s phone.
  • Nobody can say who approved what, or when.
  • Customers call all afternoon asking if it’s ready.

Decisions made on the facts

With photos in front of them and a button per service, customers decide on the facts, and every decision is on the RO.

The inspection

Measurements that rate themselves

In WPI Driveline Shop Management System, techs work the checklist on a phone or tablet at the car. Type a pad or tread measurement and the rating fills itself in, on a color gauge the customer can read.

37 points, your way

The default “Standard multi-point” template covers under hood, brakes, tires & wheels, steering & suspension, exterior & safety, and underbody. Edit it, or build your own templates.

37points in 6 sections,
out of the box

Three ratings

Each point is Good, Needs attention soon or Needs immediate attention. Points you skip count as not inspected and stay off the customer’s report.

Pads and tread

Brake pads in millimeters: 5 mm and up is good, 3 mm and up is soon. Tread in 32nds: 6/32 and up is good, 3/32 and up is soon. Anything less needs attention now.

Photos & video

Photos and video that tell the story

Attach photos and video to an inspection point, a service line or the whole vehicle, each with a caption. Mark any item internal and it stays off the customer’s report.

  • Markup. Arrows, circles, freehand lines and labels in red, yellow or white, with undo. The original is kept, and the customer sees the marked-up copy.
  • Re-encoded photos. Photos the browser can open are resized to at most 2,400 px on the long edge and re-encoded, which removes GPS location and device data. A format it can’t open (such as HEIC outside Safari) is kept as-is. Videos are stored as recorded, up to 300 MB.
  • Dictation. Tap the mic button to dictate notes in Chrome, Edge or Safari.

Approvals

A yes on the record

Customers see a clean report with your photos and decide service by service. Every decision lands on the repair order with a name, a time and the amount.

At the counter or by phone

Record an approval in person with an on-screen signature, or log one that came by phone, text or email.

Approve or decline online

Customers approve or decline each service from the report link, with a typed name and signature. The decision is applied to the RO within about a minute on a signed-in shop device that has the app open on screen.

Every authorization logged

Who, how, when, which services and the amount, kept on the repair order.

Your numbers stay yours

The report never shows costs, margins, tech pay, internal notes or photos marked internal.

Good, better, best tires

Quote three tire options, and the customer picks one right on the report.

Three ways to share

Hand over the counter tablet, text or email a link, or send one self-contained .html report that works offline.

Links use Shop Cloud. Each has a random 22-character id, and turning a link off deletes its files.

Live status

A live status page customers check themselves

Send the link once. The page shows each stage with its time: checked in, approved, being worked on, waiting on parts (when it happens), ready and picked up. It also shows the promised time until the car is ready, the approved work, and buttons to call the shop, view the inspection (when you’ve shared the report) and pay the balance.

  • It refreshes itself while it’s open.
  • It shows only the customer’s first name and the balance due, never line prices.
  • You can turn it off.

The status page uses Shop Cloud. The Pay button appears once the car is ready, if you’ve set up a pay link.

Questions

Inspection questions

Do customers need an app or a login?

No. The report and the status page open in the web browser on the customer’s phone, tablet or computer.

Can they approve some work and decline the rest?

Yes, service by service. Declined work is saved for a follow-up.

Can I change the checklist?

Yes, in Settings → Services & inspections. Edit the Standard multi-point template or build your own.

Can I turn off a link I sent?

Yes, and turning it off deletes the shared files.

Is location data removed?

From photos the browser can open, yes: they’re re-encoded, which removes GPS location and device data. Photos in a format the browser can’t open (such as HEIC outside Safari) and videos are stored as recorded.
