Parts, inventory & tires
Parts on the shelf, on the job and on order.
See what’s in stock, what’s spoken for and what’s coming. Purchase orders are tracked from order to receipt, cores until they’re credited, and a scanner in the browser finds, pulls and counts parts.
Sound familiar?
Where parts slip
- Ordering the same part twice.
- Cores never credited.
- Counting inventory with a clipboard.
An Ordered column
Every part shows what’s already on an open purchase order, so you see it before you order it again.
Cores with a status
Each core charge is tracked from owed to returned to credited, on its own Cores tab.
Counts by scan
Scan a part on the shelf and type what you counted. The phone or tablet you already have is the scanner.
Inventory
Inventory that tells you what to do
Every part shows what’s on the shelf, what’s already pulled onto open jobs and what’s on order. Set a min and a max, and the status column says when to reorder.
-
Shelf, jobs and orders
The shelf count, the parts already pulled onto open repair orders and the parts on open POs, side by side with the bin and the last time it was used.
-
Min and max, worked out
Reorder, Low · on order, Above max or OK, from your min, your max and what’s already ordered. One tap filters to low stock.
-
Values and CSV
Value tiles at cost for parts, tires, batteries, and fluids & supplies. Export the whole list to CSV.
Parts can be transferred between locations when you run more than one. The Maintenance specs tab has sourced specs for a short list of common models (Silverado 1500, F-150, Accord, Civic, CR-V, Camry): each value was checked against an owner’s manual, an OEM parts catalog or a retailer’s fitment page, and the source is linked.
Purchase orders
Purchase orders, start to finish
Start a PO by vendor, from low stock or from parts needed on repair orders. Mark it ordered, receive it box by box, and stock, cost and the RO catch up when it arrives.
-
Draft
Built by vendor, started from low stock or from parts needed on ROs.
Draft -
Ordered
Marked ordered, with the date you expect it. The parts count as on order.
Ordered · due Thu -
Partially received
Scan each box as you unpack it. Whatever hasn’t come yet stays on order.
4 of 6 received -
Received
Stock and cost update, and the RO’s part line shows Received.
Received
The chips show an example purchase order.
Overdue and due-today POs show on Today.
Today’s Needs attention list shows each PO that’s due today or overdue, in the same list as cars waiting on parts. See the Today screen
Barcode scanning
Scan instead of type
Scan UPC/EAN, Code 128 and QR barcodes to find parts, pull them onto an RO, receive POs box by box and count inventory.
VIN barcodes (Code 39, Code 128, Data Matrix, QR) scan in the VIN decoder, the vehicle form and self check-in (self check-in needs Shop Cloud).
- Find a part
- Pull it onto an RO
- Receive a PO
- Count the shelf
It uses the browser’s built-in detector, or a decoder bundled for iPhone/Safari and Firefox. A photo of the barcode or typing the code also works.
Supplier lookup
Supplier lookup, already filled in
Opens RockAuto, NAPA, O’Reilly, AutoZone and Advance with the vehicle and part search filled in, plus OEM parts stores by make.
PartsTech, Nexpart and WORLDPAC speedDIAL are links.
Pricing, stock and fitment come from the supplier’s own site, and you order there on your own account. RockAuto opens its catalog for the vehicle, since its search takes part numbers only.
Tires
Good, better, best tires, and the DOT log
Quote tires the way customers shop for them, and keep the numbers you need when a recall comes.
Three options, one service
Quote good, better and best tire options side by side on one service.
The customer picks
The customer taps their choice on the counter tablet or report link, and the tire line follows it.
DOT numbers on file
Record each installed tire’s DOT TIN with date-code checks and age warnings, and export a registration log for manufacturer registration and recalls.
Cores, too. Core charges are tracked from owed to returned to credited.
Questions
Parts questions
Can I order from my suppliers inside the app?
No. Lookup opens their sites pre-filled, and you order there on your own account. The purchase order is tracked in the app.
Does scanning need special hardware?
No. It uses the device camera, a photo of the barcode or typing the code.
Can I see parts tied up on jobs?
Yes, in the On jobs column of the inventory table on a computer or tablet. It counts parts already pulled onto open repair orders.
