Reports, payroll & QuickBooks
Your numbers, straight from your repair orders.
Sales, gross profit, car count, ARO, close rate and tech performance, with a monthly scorecard against the targets you set. Payroll-ready exports from real clock time. Each day's sales can post to QuickBooks Online as one balanced journal entry, with Shop Cloud and your own Intuit developer app.

Where the numbers hide
The month is all there, on your repair orders and time cards. Getting it out usually takes a spreadsheet, a calculator and a Sunday.
- Retyping the month into QuickBooks.
- Flat-rate math in a spreadsheet.
- Not knowing your effective labor rate.
- Comebacks nobody counts.
Counted from the work you already write up
Reports, payroll and the books all read the same repair orders, payments and clock time.
- QuickBooks Online gets each day's sales as one balanced journal entry, through Shop Cloud and your own Intuit app.
- Flat-rate pay is worked out from flagged hours, with labor and parts commission.
- Effective labor rate is labor dollars over hours sold, for the period you pick.
- Comebacks are counted by technician, with their rate and cost.
Reports & goals
Five reports, one place
Pick the last 7 days, 30 days, 90 days or 6 months. Every number is counted from the repair orders, estimates, payments and clock time already in the app.
What came in, and what you kept
Revenue, car count, ARO, gross profit, hours sold and effective labor rate, with the sales mix, close rate, top services and receivables aging.
A period-over-period table shows the % change on every line, including hours presented against hours sold.
- Gross profit
- Effective labor rate
- Sales mix
- Receivables aging
A monthly scorecard against your targets
Set targets for car count, ARO, gross profit, parts margin, effective labor rate and close rate. The scorecard shows where the month stands, and where car count is on pace to finish.
The growth planner shows how more cars, a higher ARO or a better close rate would move monthly sales and gross profit, based on your last 90 days.

Payroll-ready, not payroll
Clock time from the tech clock becomes reviewed timesheets, an approved pay period and the files your payroll service imports.

Accounting
Bookkeeping views from your own ROs
The Accounting page in WPI Driveline Shop Management System builds its numbers from the repair orders, payments and expenses already there, split into Profit & loss, Expenses, Deposits, Sales tax, and QuickBooks & exports.
Profit & loss
Income by type, parts and sublet cost, tech pay from the time clock, operating expenses by category, and net income.
Expenses, deposits & sales tax
An expense ledger. Deposits by day and payment method, with tips and surcharges separated. Sales tax by month: taxable, exempt and collected.
CSV exports
In QuickBooks Online's import layouts: invoices, payments, expenses, a balanced daily sales journal and customers. They also open in Xero, Wave or a spreadsheet.
QuickBooks Online
QuickBooks Online, posted daily
Each day's sales, payments, sales tax, tips, surcharges and Stripe fees post as one balanced journal entry.
- Accounts are suggested from your chart of accounts.
- Post any period by hand, or turn on daily posting of the last week through yesterday.
- Re-posting a day updates its entry instead of doubling it (a day that hasn't changed is left as it is), and unbalanced or unmapped entries are refused.
- Stripe fees are booked to card processing fees, so deposits match the bank.
Needs Shop Cloud and your own Intuit developer app. Daily posting runs when an owner or manager device is opened.
How payments reach the booksDaily summary
A daily summary in your inbox
The owner gets a summary email at the hour they pick, in the shop's time zone: sales, money collected, car count and ARO, what's in the shop, open estimates, receivables, tomorrow's appointments and items needing attention.
It needs Shop Cloud and Resend. The numbers come from an owner or manager device opened that day; if none was, the email says so.
Multiple locations
More than one location?
Run several addresses as one shop.
- Each location keeps its own address, phone, sales tax and labor rate, and all locations share one customer list.
- Repair orders, appointments, time, POs and inventory belong to a location.
- Documents and texts use that location's details.
- Reports compare locations side by side, and parts transfer between locations.
Each device picks the location it's working at, or all of them.
FAQ
Reporting questions
Will re-posting double my entries?
No. Re-posting a day updates that day's journal entry in QuickBooks Online instead of adding a second one.
Xero or Wave?
Use the CSV exports. Direct sync is QuickBooks Online only.
Does it run payroll?
No. It works out hours, overtime, flat-rate pay and commission, and exports them to your payroll service, which pays people and files taxes.
Can I see each tech's comebacks?
Yes. The Technicians report shows comeback rate and cost for each tech.
